How to plan the perfect event

Events are the ideal way to draw attention to your brand, and are especially suited to occasions such as new product launches or rebrands. So how do you plan the perfect event? 

Event planning is not for the faint-hearted, with plenty of elements to consider before, during and after the main attraction.

We recently worked on an event project with The Heart of England Co-operative Society when it was planning its 2022 conference for over 100 people. Our team helped them plan, execute and manage the conference and supported in all areas – from the venue and contractor sourcing, print and design requirements, video support, giveaways and hosting support on the night – so we know all the tricks to make sure your event is talked about for all the right reasons. 

Here, we’ve brought together some of the key things you’ll need to think about – and we can help with all of them.

The right place

You’ll need to find the perfect spot to host your event, taking into consideration the format your event will be in. Will you be having rows of seating, or tables? Catered, or not? How many people are you realistically expecting; you don’t want to run out of room or, potentially worse, have too much empty space.

You’ll also need to think about transport and parking; you want to make it as easy as possible for your guests to attend.

Spreading the word

To make sure your event is well-attended, you’ll need to spread the word among the people you want to invite. This could take the form of email invitations using an existing mailing list, or printed materials for that added extra.

One of the most effective ways to make your event stand out is to use personalisation. You can do this with personalised event invites, like we did for Newcastle University to ensure record capacity at their event.

For the Heart of England event, we worked with the team to invite suppliers and staff to the event through internal intranet communications as well as email marketing.

However, you’ll also need to make sure everyone knows where they’re going, so detailed instructions before the night and clear signage at the venue are a must.

The big night (or day)

For a successful event, you’ll need to make your guests feel special and give your guests a night to remember. Working on The Heart of England event, our in-house videography team produced a corporate video which was embedded into the master presentation, encapsulating the brand, its plans and values for the future, as well as celebrating the 190th anniversary of the society. 

Our team also sourced and organised all the additional decorations and tools from external suppliers such as balloons, catering, lighting and sound systems.

As an extra touch, we also designed and created collateral for goodie bags – who doesn’t love a freebie? Branded notebooks, pens and bags always go down well – and, every time they get used, someone’s thinking of your brand!
